We are looking for an amazing Office Manager or Executive Assistant who loves to work in a creative space to help support the Founder of this amazing company! They sell to high end Department stores all over the world and also have an online retail portal. This position will be to support the day to day admin for the Founder as well as help manage the customer service portion of the company. You will get to learn from an amazing Woman who has been in business for decades and is a wonderful mentor. They also give back to the community which is inspiring and wonderful!

This is perfect for someone with experience as an assistant in the creative space who is educated, polished and has fantastic communication skills.

Salary is 85-90k, DOE plus health insurance stipend, 2 weeks paid vacation, 5 sick days, Federal Holidays off & paid AND the office closes yearly between Christmas – New Years Eve. Major plus if you know Quickbooks, or are open to learning! Please be comfortable on PCs and tech savvy. We would love if you are able to travel as you might be going to trade shows about 2-3 times a year, not a deal breaker if you can’t!

Usual office hours are Monday-Friday, 9am-6pm. This role is now 4 days in the office in Culvery City, and 1 day can be WFH/remote! Great office environment as you are conveniently located near the Platform in Culver City. This is a #dreamjob.

The role is heavily focused on strong and decisive daily communications with customers, account set up process and approval, order processing, ongoing problem-solving customer service matters, credit control and financial management.

Key Responsibilities:

Customer Service:
• Order entry – taking orders online directly from clients
• Liaising daily with wholesale Accounts all over the world providing assistance and support for clients via email and phone.
• After Sales Service issues and warranty issues.
• Order Processing & Order Fulfilment
• Management of day to day business
• Oversee ‘exchanges’ and RA (return authorization)
• Using own initiative to network with Key Accounts and build business relationships with them.

Finance & Reporting:
• Work with CEO and accounting to follow collections/receivables and establish terms for new customers
• Invoice Financing – full responsibility of uploading data
• Monthly Sales reporting

Tradeshows:
• Attend Tradeshows
• Ensuring sample sets are at shows, clean, complete and ready with new releases.
• Brand Ambassador at trade shows providing a trusted and well known ‘face’ of the company.

Sales Support & Management:
• Management of sales reps
• Management of Sample Sets to ensure the correct product is in the sets at all times in line with stock room levels to minimize back orders.
• Communicate available inventory to sales team- ensure that the sales team is concentrating on selling available inventory.
• Suggesting new processes to deal with issues and opportunities
• Policy Making – providing leadership and setting new policies in an emerging company
• Writing Training Manuals/Training all new staff and setting new protocols for the CS Dept
• Updating retail and wholesale website (products, store locator, etc)
