Client currently has an incredible Executive Assistant who handles both personal and executive duties. We’d like to find someone who will be able to take over the personal assistant side and work closely and support the current assistant. The new Personal Assistant’s focus will be on the household so the current Assistant can focus on their Executive Assistant duties. Here is what we’re looking for, as well as details about the job:
What we’re looking for:
-At least three years’ experience with UHNWI/Celebrity
-Proven longevity in recent positions
-Flexible mindset and a passion for making logistics easy for a high profile person trying to live a down to earth life
-Very tech savvy. Comfortable with Zoom, Outlook, Word, Google Suite, Apple products (especially Apple TV). Shared assistant to do list is on Asana platform.
-Excellent communication skills
-Very organized
-Someone who will bring a positive, can do attitude to the job
-Important that the person is able to discreetly get their work done when client is home or has guests. The client has a large group of friends, and we need someone who will be able to maintain a professional relationship in social situations.
-Proactive. Current assistant is excited to have someone come in with new/creative ideas on how to improve current systems
-Must be fully vaccinated and comfortable with following company COVID protocols.
-Excited and able to be part of a team. Will be working closely with the client’s Executive Assistant, two housekeepers, and maintenance person.
-Experience booking both commercial and private travel.
Job Details:
-Will be in charge of keeping products up to date and working with our IT and AV teams.
-Great team player. No task is too small.
-Will be able to sometimes split the work day between working from home and working in the client’s home.
-Some weekend and after hours work and communication should be expected.
-Assist with multiple properties in Newport Beach, Malibu, and Los Angeles. Making sure personal items are stocked and organized at all properties.
-Help manage art program with current assistant via FileMaker program. There is already an art advisor in place, but assistants will be in charge of tracking art, getting approval on invoices, and sending to business office to insure. Not an issue if applicant doesn’t have prior experience with art management – must be willing to learn and have experience learning new systems quickly
-There are two very friendly Labradors. Will be in charge of keeping track of needed vaccinations, appointments, stocking food at the properties, grooming, etc.
-Assist with packing for press trips and vacations.
-Coordinate with maintenance person and vendors on repairs
-Assist with gifting for birthdays, holidays, etc
-Assist with planning small and big events
-Create household handbook for all properties
