JOB DESCRIPTION
Estate Manager/Chief of Staff
Overview:
Manage 10 properties across the U.S. Chief of Staff managing 17 full time staff. Chief point person as it pertains to all entertaining and lifestyle. Work alongside CFO with household budgets supported by satellite Property Managers.
Roles & Responsibilities:
Main Beverly Hills Residence:
– Lead all major and general repairs and maintenance for both home and vehicles
– Manage household projects to include interior & exterior renovations and landscaping – Partner with CFO on budgeting
– Maintain vendor relationships & schedule
– Manage security team
– Lead all events and hosting from small dinner parties to annual parties, all holiday celebrations, and family special occasions
– Maintain visual upkeep of residence, contents and vehicles
– Meal planning and food purchasing
– Personal assistance regarding travel, shopping, pets, meds and children/grandchildren
Satellite Properties:
– Manage all Satellite Property Managers
– Partner with CFO on new residence purchasing, building, furnishing – working with architects, interior designers and landscape designers
– Redecorate new and existing properties with various designers depending on project
– Coordinate with Property Managers owner/family/guest arrivals and departures and personal requests
– Support any R&M where your involvement is valuable
– Co-manage vendors on large projects
– Lead all emergency protocols with security team and assistance of Property Manager
– Lead all large events as well as major Holiday celebrations
HR:
– Oversee staff hiring/firing, onboarding, payroll/timesheets, vacation & sick, annual reviews
– bonuses, pay rates, payroll – managed in conjunction with CFO
Financials:
– Oversee team spending – manage to a budget set by owners/CFO
– Review/approve check run reports, bank statements, credit card statements and approve new vendors
– Manage Art Collection R&M and logistics
– Provide CFO with electronic and paper filing – real estate and asset related documentation
– Co-manage with CFO auto purchases, leases, insurance & registration
Travel:
– Travel with the family as needed
– Support EA with all private travel as it pertains to the use of two corporately owned jets
– Support CFO with Private charter negotiations
– Support EA with all commercial international and domestic travel – air, land & sea
– Co-lead with EA all travel concierge needs
– Support EA with all packing for family travel – housekeepers & auxiliary support
Autos/Boats/Motorbikes:
– Support CFO with DMV Records for family and all insurance documentation for family and staff that use company vehicles
Qualifications & Preferred Requirements
– Experience with construction, building, design, installation and project management
– Strong working knowledge of HVAC, AV, IT, Crestron & Vantage Lighting Mechanical systems – upkeep and maintenance
– 10-15 years’ experience as Estate Manager and/or Chief of Staff required
– Highest level of personal service with proper social etiquette
– Exceptional leadership and motivation skills
– Creative and intuitive thinking and problem solving
– Well versed in entertaining, hosting, fine dining
– Well educated in luxury items and procurement
– Be Proactive & fun
– Extremely well-traveled – a benefit
– Culinary skills a plus
– Discreet, responsible & collaborative
– Multi-lingual and Spanish preferred
– College or other advance degree
