A dynamic couple is seeking an exceptional House Manager Personal Assistant to help manage a small home in West Hollywood and an expansive property in Bel Air during what promises to be one of the most exciting years of their lives!

They recently leased a spectacular Bel Air estate where they will host their wedding, welcome family and friends from around the world, and celebrate a year full of gatherings, milestones, and unforgettable events. They are looking for a highly organized, resourceful professional who loves creating seamless experiences, takes pride in hospitality, and genuinely enjoys taking care of VIP guests.

This is a hands-on role that combines household management, personal assistance, guest relations, vendor coordination, and event support. Responsibilities include overseeing household vendors, managing maintenance projects, keeping both properties organized and guest-ready, stocking refrigerators and household supplies, coordinating deliveries and returns, handling errands, assisting with scheduling and logistics, and serving as the go-to person for day-to-day operations.

The ideal candidate is a natural host with outstanding local knowledge and a strong network of trusted vendors, caterers, florists, rental companies, maintenance professionals, and service providers. Experience coordinating events, managing guest stays, sending invitations, tracking RSVPs, and helping execute celebrations is highly valued.

The schedule is generally Monday through Friday during standard business hours, with flexibility to assist during special events, guest visits, or occasional emergencies. Compensation is expected to fall in the $50 hour range depending on experience, along with PTO and benefits.

We are seeking someone with substantial local household experience, impeccable references, exceptional organizational skills, and the highest level of discretion and trustworthiness. The right candidate will be proactive, detail-oriented, calm under pressure, and capable of keeping multiple moving pieces organized while making everything look effortless.

One of our fun new clients is looking for a house manager and personal assistant. Both parents work and while they do fine on the day to day, they have many projects that pile up. Their primary house is in Los Altos, CA and they have a weekend place 25 minutes away up on Skyline in Woodside. Ideally would like someone to work about 20 hours a week on average. Most work is time flexible and they are fine if someone wants to shift work around throughout the week or month to fit their schedule. They do have a Housekeeper, and if you love to cook this could be a full time job as they would love help with that (just for mom and dad).

Here are some example responsibilities:

• Project Research to Hiring: Do the initial legwork to find and screen specialized help when needed. For example, you might look into landscape crews, or compare quotes from contractors, presenting us with the best options.
• Managing Household Help: Act as the main point of contact for our regular vendors, including housecleaners and gardeners, to ensure tasks are completed correctly.
• Home Organization: Partner with us to tackle clutter, organize storage spaces, and streamline rooms. You won’t be doing the heavy housecleaning yourself, but you will help make decisions and direct the cleaning staff on where things go. We are looking for help selling some items we no longer need.
• Travel to Reservations: Research and book vacation logistics, including flights, hotels, and restaurant reservations.
• Errands to Gifting: Handle routine tasks like going to the post office or picking up specific orders. Keep track of family, friend, and employee milestones to help pick out, purchase, and send gifts for birthdays and holidays.
• Vehicle Logistics to Maintenance: Drop off and pick up family and project vehicles for regular service, detailing, and repairs. You will deal directly with mechanics and service advisors, so you need to be able to talk about car maintenance knowledgeably to ensure we get fair pricing and quality work. Need someone who can drive a manual transmission and who I can trust with high value cars. Hourly rate between $65 $75!

Position: Executive to Personal Assistant Family Assistant to House Manager
Location: Hillsborough, CA (Primary Residence)
Compensation: $130,000–$150,000 DOE (more for the right person!)
Schedule: Full-time, Monday–Friday, ~7:30 AM to 4:00–6:00 PM (Flexibility Required)


Key Responsibilities:
• Administrative Support:
◦ Executive assistant duties for the principal (calendar management, scheduling, travel coordination)
◦ Daily check-ins and coordination with household team members
◦ Maintaining comprehensive and accurate family calendars (children’s activities are a priority)
• Household to Family Management:
◦ Oversee and coordinate with vendors for all property maintenance (including an 8-bedroom, 10-bath primary home)
◦ Liaise with executive housekeeper and housekeeping staff
◦ Assist with packing, stocking, errands, and household organization
◦ Ensure children’s gear and needs are managed for all activities and outings
• Travel to Property Oversight:
◦ Pre-arrival setup and post-departure wrap-up for Carmel and Tahoe homes (stocking, fresh flowers, organizing)
◦ Coordinate any travel needs for the family and guests (up to 9 people when traveling together)
◦ Stay ahead of maintenance, renovation needs, or emergency situations across homes
• Family to Lifestyle Support:
◦ Assist with logistics for the children (ages 12–19), including scheduling, gear prep, and activity management
◦ Occasional support for the principal’s elderly mother
◦ Work closely with the principal’s girlfriend and her 3 children
◦ Coordinate with the live-in au pair (from Italy)
Ideal Candidate Will Have:
• 5plus years of experience supporting UHNW families or senior executives
• Strong administrative, organizational, and multitasking skills
• Familiarity with managing multiple homes and complex schedules
• High emotional intelligence, discretion, and professionalism
• A proactive, ‘get it done’ mindset—no task too big or small
• Tech savvy and calendar management expertise (Google Calendar, etc.)
• Ability to work closely with the existing family office and household team
• Local to Hillsborough or surrounding areas (no bridge commuters preferred)

This is a very busy family with a lot going on so you need to be proactive, beyond organized, MAC SAVVY, love to travel, flexible, and go with the flow! Specific work includes:
-Implementing Systems to organize, track and follow up on the whole family work flow. 
-Daily managing of personal, professional and school calendars
-Managing household Staff as needed (a chef and two housekeepers)
-Coordinating with property managers in the upkeep of 4 different homes
-Help Plan family and business travel
-Maintain and organize house files
-Analyze spending, review monthly bills, and evaluate where to save – coordinate with business managers
-Holiday card roll out and gift organization
-Assisting in the management of the principal’s side projects, shows, travel, and health.
-Assisting in the scheduling of family doctors appointments.
-Running errands, returning items, etc
-Pinch hit when needed to pick up kids, arranging for outside drivers as needed.
-Coordinating and managing mini storage usage and its contents (which have been visually catalogued already) for seasonal drop offs.
-Much of this work could be streamlined to fit within the standard work week.
