A wonderful Brentwood family is looking for an exceptional House Manager Personal Assistant to become an integral part of their team. This is a dynamic home with three children, two longtime nannies, and three housekeepers. This role is wonderfully varied. You’ll oversee household operations, coordinate staff payroll, manage the ever-changing family calendar, organize personal and family travel, and ensure that all the moving pieces come together effortlessly. Approximately three hours each day will also be dedicated to supporting the principal’s business as a successful writer and director, so you’ll enjoy a nice balance between household management and executive support.

The ideal candidate is calm under pressure, highly organized, proactive, and discreet. You love anticipating needs before anyone has to ask, communicate well with a team, and can easily shift between family logistics and business priorities. Responsibilities include:

Managing the family’s busy calendars and schedules
Processing payroll for household staff
Coordinating domestic and international travel
Overseeing the daily flow of a fully staffed household

Providing approximately three hours of executive support each day for the principal’s business
Handling personal projects, errands, and special requests as needed

This is an onsite role based primarily in Pacific Palisades, with regular coordination for a second home in Indian Wells.

About the Role

This is a wonderful blend of personal assistant, project manager, and household manager.

The principal works from her home office, leads a remote team of 12 employees along with seven attorneys, and juggles multiple properties, projects, and family commitments. She is looking for someone who loves taking a list and making it happen.

You’ll oversee vendors, organize projects, coordinate home improvements, manage calendars and details, help plan entertaining, and keep everything moving forward.

The family divides time between Pacific Palisades and Indian Wells, so you’ll help manage both homes, along with light oversight of additional family properties.

Responsibilities
Coordinate vendors, obtain bids, and oversee home maintenance projects
Manage deferred maintenance and improvement projects across multiple properties
Track timelines and follow through until projects are completed
Organize two homes and create systems that last
Plan parties and family gatherings by coordinating chefs, rentals, florals, and vendors
Personal shopping for clothing, gifts, and home décor
Digital organization including calendars, files, spreadsheets, and task management
Help create efficient systems that reduce stress and keep everything running smoothly
Light supervision of household staff, including helping oversee the nanny for a grandchild
Be the principal’s trusted right hand for whatever needs attention next
Who You Are

You genuinely love organizing.

You enjoy checking things off a list, bringing order to chaos, and making people’s lives easier. You have excellent computer skills, strong follow-through, and exceptional attention to detail. You’re comfortable working independently, interviewing vendors, comparing proposals, and confidently managing multiple moving pieces.

Most importantly, you’re warm, emotionally intelligent, and unflappable.

The principal’s husband is a lovely man who can become anxious when there is too much change all at once. The ideal candidate has empathy, patience, and understands how to introduce change thoughtfully and gently.

You should also enjoy children and dogs—the family has a large, incredibly sweet Standard Poodle who is wonderfully trained and very much part of the household.

Schedule to Compensation

Location: Pacific Palisades (onsite), with coordination for Indian Wells

Schedule: Part-time or full-time (flexible)

Compensation: $50–$60 hour, depending on experience possibly more

One of our fun new clients is looking for a house manager and personal assistant. Both parents work and while they do fine on the day to day, they have many projects that pile up. Their primary house is in Los Altos, CA and they have a weekend place 25 minutes away up on Skyline in Woodside. Ideally would like someone to work about 20 hours a week on average. Most work is time flexible and they are fine if someone wants to shift work around throughout the week or month to fit their schedule. They do have a Housekeeper, and if you love to cook this could be a full time job as they would love help with that (just for mom and dad).

Here are some example responsibilities:

• Project Research to Hiring: Do the initial legwork to find and screen specialized help when needed. For example, you might look into landscape crews, or compare quotes from contractors, presenting us with the best options.
• Managing Household Help: Act as the main point of contact for our regular vendors, including housecleaners and gardeners, to ensure tasks are completed correctly.
• Home Organization: Partner with us to tackle clutter, organize storage spaces, and streamline rooms. You won’t be doing the heavy housecleaning yourself, but you will help make decisions and direct the cleaning staff on where things go. We are looking for help selling some items we no longer need.
• Travel to Reservations: Research and book vacation logistics, including flights, hotels, and restaurant reservations.
• Errands to Gifting: Handle routine tasks like going to the post office or picking up specific orders. Keep track of family, friend, and employee milestones to help pick out, purchase, and send gifts for birthdays and holidays.
• Vehicle Logistics to Maintenance: Drop off and pick up family and project vehicles for regular service, detailing, and repairs. You will deal directly with mechanics and service advisors, so you need to be able to talk about car maintenance knowledgeably to ensure we get fair pricing and quality work. Need someone who can drive a manual transmission and who I can trust with high value cars. Hourly rate between $65 $75!

Key Responsibilities:
• Administrative Support:
◦ Executive assistant duties for the principal (calendar management, scheduling, travel coordination)
◦ Daily check-ins and coordination with household team members
◦ Maintaining comprehensive and accurate family calendars (children’s activities are a priority)
• Household to Family Management:
◦ Oversee and coordinate with vendors for all property maintenance (including an 8-bedroom, 10-bath primary home)
