An established UHNW family is seeking a proactive, highly organized, and experienced Executive to Personal Assistant who can also serve as a Family Assistant and House Manager. The role is based in Hillsborough, with responsibilities extending to properties in Carmel and Lake Tahoe. This is a hands-on, fast-paced position that requires a true multitasker who can ‘wear many hats’ and take initiative without constant direction.
Position: Executive to Personal Assistant Family Assistant to House Manager Location: Hillsborough, CA (Primary Residence) Compensation: $130,000–$150,000 DOE (more for the right person!) Schedule: Full-time, Monday–Friday, ~7:30 AM to 4:00–6:00 PM (Flexibility Required)
Key Responsibilities:
• Administrative Support:
◦ Executive assistant duties for the principal (calendar management, scheduling, travel coordination)
◦ Daily check-ins and coordination with household team members
◦ Maintaining comprehensive and accurate family calendars (children’s activities are a priority)
• Household to Family Management:
◦ Oversee and coordinate with vendors for all property maintenance (including an 8-bedroom, 10-bath primary home)
◦ Liaise with executive housekeeper and housekeeping staff
◦ Assist with packing, stocking, errands, and household organization
◦ Ensure children’s gear and needs are managed for all activities and outings
• Travel to Property Oversight:
◦ Pre-arrival setup and post-departure wrap-up for Carmel and Tahoe homes (stocking, fresh flowers, organizing)
◦ Coordinate any travel needs for the family and guests (up to 9 people when traveling together)
◦ Stay ahead of maintenance, renovation needs, or emergency situations across homes
• Family to Lifestyle Support:
◦ Assist with logistics for the children (ages 12–19), including scheduling, gear prep, and activity management
◦ Occasional support for the principal’s elderly mother
◦ Work closely with the principal’s girlfriend and her 3 children
◦ Coordinate with the live-in au pair (from Italy)
Ideal Candidate Will Have:
• 5plus years of experience supporting UHNW families or senior executives
• Strong administrative, organizational, and multitasking skills
• Familiarity with managing multiple homes and complex schedules
• High emotional intelligence, discretion, and professionalism
• A proactive, ‘get it done’ mindset—no task too big or small
• Tech savvy and calendar management expertise (Google Calendar, etc.)
• Ability to work closely with the existing family office and household team
• Local to Hillsborough or surrounding areas (no bridge commuters preferred)
Additional Details:
• Payroll employee with drug screening required
• Candidate must be highly resourceful and detail-oriented
• Some flexibility for evenings or weekend travel prep when needed
• Preference for someone younger, high-energy, and adaptable
• Must be local and live in the Peninsula
