If you are a meticulous, lovely personal assistant who loves running and maintaining a beautiful home, we are looking for you! Hours are generally Monday-Friday from 10am-6pm. You will be charged with everything from scheduling, dealing with vendors, party planning, scheduling the vet appointments, an occasional pick up for one teenage kid still at home who is about to drive, returns, PO Box pick ups, and more. This is a very personal and home based position. Mom and Dad both work and are busy with their entertainment careers. Two children are out of the house, one comes home to visit on college breaks. The youngest of the children is still in high school, and learning how to drive. So loving a family environment that is busy and changes a lot is key, patient assistants will do well here!

Must love dogs, as they have 2 adorable furry friends! They operate on MAC and need a tech savvy assistant who can problem solve. You always have a smile on your face, write beautiful thank you notes, and pride yourself on being fashionable. You are excellent with prioritizing and pivoting when the schedule changes. You love to do lists and would color code your entire life if you could. The family is offering $80,000 – $90,000 a year, medical and dental insurance, and you can drive their car for errands!

Second Executive Assistant needed for the most special Philanthropic Creative Family Office Principal

We have a very special client, who is looking for the best Executive Assistant to join her strong and special team. This will be a dual role, two Executive Assistants will share the responsibilities to ensure there is always coverage for all that changes on a day to day basis. We are looking for someone with a big heart, who cares about the smallest and biggest details, and is OCD organized. Purpose:
Your primary responsibilities involve the exercise of independent judgment in managing the Principal’s needs and supporting all facets of the Principal’s contacts. You will work directly with the Principal and very closely with the Estates Manager. You will be an integral part of the house management team and the conduit to the Principal for all internal and external entities.  In addition, you will be responsible for managing the calendar and all of the day-to-day duties. You must be proactive and able to communicate effectively to the Principal and the wider team at all times.

The position will include, but will not be limited to, the following tasks:
•       Coordinate all aspects of Principal’s work, projects, family life and calendar
•       Working directly with Principal to plan, develop, present and guide projects through from ideation to completion
•       Assist with deliverables and manage deadlines from many sources both internal and external
•       Assist with all aspects of Principal’s art projects: including but not limited to: Art Studios, communications with legal teams and the movement of Art both nationally and internationally
•       Research and manage the Principal’s various diverse projects as needed
•       Coordinate and assist with all Foundation initiatives
•       Acting liaison between all contacts and the Principal
•       Managing and coordinating the daily calendars of Principal: holistic overview of calendar at all times
•       Planning appointments and events: coordination of all calendared events from beginning to end and all that they encompass
•       Act as the point of contact between Principal and Employees, Family and external Associates
•       Create regular reports and communicate all to Principal and Estates Manager
•       Liaise and work closely with Prinicpal’s travel team and manage all internal Family Office travel communications
•       Coordinate and manage cargo and luggage coming on and off aircrafts and boat
•       Coordinate Family and Guest plans, convey to appropriate parties when traveling, or at home, and direct the wider team in making/finalizing plans
•       Coordinate with Principal’s team on all Family gifting: direct and manage the implementation of annual gifting
•       Manage Principal’s phone calls, emails and text communication: streamline systems
•       Respond promptly to Principal’s and Managers’ queries
•       Facilitate internal communication between all departments as needed
•       Clear communication of new standards, resources and inventories to entire management team
•       Direct IT team on support and implementation of Principal’s IT needs
•       Facilitate and contribute ideas to the organization in any way in which we might improve
•       Travel as needed

The role has two parts: Personal Assistant and House Manager for their small staff of a housekeeper and part time Chef. The other part of the role is a high functioning Personal Assistant. You will manage all doctors and personal appointments, handle all scheduling, shopping returns, packing, travel bookings, and more.

We would love someone that has been an Executive Assistant or Executive Personal Assistant that has also done house management. This is not a huge formal home that needs a separate manager, so we need someone that enjoys wearing a few different hats and can pivot during the day.

UCLA Professor with two sons (aged 17 and 13) is looking for a personal executive assistant to work out of home. The main needs are scheduling and organization. We are looking for a patient, and lovely person! This could be a full time, Monday-Friday, 40 hour a week position. She will also consider a part time person, for three, 8 hour days if that is better for you. Some computer work can be done remotely.

Duties:
• Scheduling meetings and managing calendars
• Helping with daily time management and drafting correspondence such as emails and letters
• Reviewing, completing, and filing personal and professional forms documents
• Technology support (troubleshooting phones, computers, home AV system, etc.)
• Booking travel, including flights, accommodation and ground transportation
• Tracking home and office supplies and restocking as needed
• House management duties including interfacing with house staff, third-party vendors, and bookkeepers
• Running errands including grocery shopping, school pickups, etc.
• Rolling calls and taking accurate and comprehensive notes at meetings
• Assisting with event planning

Qualifications:
• Bachelor’s or graduate degree 
• Proficient in Microsoft Office, Google Docs, Excel, and Sheets
• Experience in managing multiple priorities, administrative coordination, and logistics
• Well-organized, detail-oriented, able to multi-task and demonstrate  great follow-up skills
• Strong written and verbal communication skills
• Strong people-skills and a calm demeanor 

The schedule will be Monday-Friday, 10am-6pm in her home. This is for a college educated, organized, bright and thoughtful person! If you have just a year or two of experience, and are excited to grow with your boss, this is for you.
