Client currently has an incredible Executive Assistant who handles both personal and executive duties. We’d like to find someone who will be able to take over the personal assistant side and work closely and support the current assistant. The new Personal Assistant’s focus will be on the household so the current Assistant can focus on their Executive Assistant duties. Here is what we’re looking for, as well as details about the job:

What we’re looking for:
-At least three years’ experience with UHNWI/Celebrity
-Proven longevity in recent positions
-Flexible mindset and a passion for making logistics easy for a high profile person trying to live a down to earth life
-Very tech savvy. Comfortable with Zoom, Outlook, Word, Google Suite, Apple products (especially Apple TV). Shared assistant to do list is on Asana platform.
-Excellent communication skills
-Very organized
-Someone who will bring a positive, can do attitude to the job
-Important that the person is able to discreetly get their work done when client is home or has guests. The client has a large group of friends, and we need someone who will be able to maintain a professional relationship in social situations.
-Proactive. Current assistant is excited to have someone come in with new/creative ideas on how to improve current systems
-Must be fully vaccinated and comfortable with following company COVID protocols.
-Excited and able to be part of a team. Will be working closely with the client’s Executive Assistant, two housekeepers, and maintenance person.
-Experience booking both commercial and private travel.

Job Details:
-Will be in charge of keeping products up to date and working with our IT and AV teams.
-Great team player. No task is too small.
-Will be able to sometimes split the work day between working from home and working in the client’s home.
-Some weekend and after hours work and communication should be expected.
-Assist with multiple properties in Newport Beach, Malibu, and Los Angeles. Making sure personal items are stocked and organized at all properties.
-Help manage art program with current assistant via FileMaker program. There is already an art advisor in place, but assistants will be in charge of tracking art, getting approval on invoices, and sending to business office to insure. Not an issue if applicant doesn’t have prior experience with art management – must be willing to learn and have experience learning new systems quickly
-There are two very friendly Labradors. Will be in charge of keeping track of needed vaccinations, appointments, stocking food at the properties, grooming, etc.
-Assist with packing for press trips and vacations.
-Coordinate with maintenance person and vendors on repairs
-Assist with gifting for birthdays, holidays, etc
-Assist with planning small and big events
-Create household handbook for all properties

Most days will be Monday-Friday, 9am-6/7pm, we do need someone flexible who can handle things as they pop up on weekends but your boss wants someone who can handle most of the work load during the week so you can have a life.

Salary is DOE + health insurance + 10 days of PTO + holidays off + 2 weeks at the end of the years off and paid when the Music Industry takes a break.

Enter all receipts into Expensify and submit every Friday to business office.
Bring trash bins in from street every week

Assist with concierge reservations, etc. for principals and clients of wife’s travel business.

During the three days of work be on call for tasks.
Schedule is Monday – Friday, 8 hours per day. Some nights or weekends you may be needed for events at the home

JOB DESCRIPTION – Personal Assistant to high profile multi hyphenate actor, producer and writer. Based in LA, but may occasionally require domestic and international travel (a valid passport is required). This position is *not* remote and requires someone who has a car and is fully vaccinated and boosted.
In this role, you will be responsible for coordinating all of your boss’s personal schedule including doctors appointments for her and her family (including her two small children), creating calendars for the nannies and housekeeper schedules, and booking all classes and extracurricular activities for her children.

The assistant will be in charge of all house-related maintenance including managing and coordinating with all vendors including plumbers, carpenters, caterers, landscapers, contractors, home security, tree-trimmers, neighbors, swim instructors and various teachers and classes for the children. Assistant must be very self motivated about noticing problems in the house and taking care of them in a timely and cost-effective manner.

There are daily trips to post office, grocery store, dry cleaning, picking up tailoring, and dropping off gifts and packages around town, as well as traveling and communicating with boss’s business manager.

As her personal assistant, you need to be incredibly self motivated about accomplishing various personal tasks including house and car maintenance for the cars in the household (getting gas, oil changes, car washes, scheduling repairs and inspections).

The job includes daily opening of many packages and delivering items to various members of the household and all returns. You will be responsible for daily timely returns of packages and trips to fedex and UPS, including tracking all packages. You will be doing light kitchen tasks (making smoothies, sandwiches) and picking up food for the family regularly.

You will be managing an ever-changing calendar of events, working with many different players in your boss’s world. You will be setting calls and meetings, making dinner reservations, working with a stylist, setting up for fittings for major events, going to set with your boss when necessary, working closely with the social media manager, and shooting social media content, including setting up social media shoots and coordinating fashion looks several times a week.

You will working with the boss’s executive assistant to create itineraries for all travel (including flights, cars, greeters, housing, dinner and activity reservations for the family etc.), responding to requests for gifting and requests with PR, for boss to attend events, 

Assistant will be planning all aspects of events (including but not limited to birthday parties, family events, holiday parties etc.) and more. You will speak regularly with the boss’s Malibu house manager, business manager, and the teams of other high profile people, so a high level of professionalism, discretion and trust is absolutely necessary.  You should be tech-savvy and experienced using Google Suite, Microsoft Office etc.

The role is ever-changing, and requires someone who can adapt quickly and step into any and all sorts of roles. *The person must be extraordinarily detail-oriented but also quick and efficient. They must have a high social IQ and be able to “read the room”.*

Role requires a 2 year minimum and you must be able to work a very flexible schedule. Hours are generally 10AM-7PM Mon-Fri, but adjust daily based on need (ex: if you need to be at home or on set early / stay late, or if there are tasks that need to be completed that day). Weekend availability is necessary, but will change week to week (will never work more than 6 days in a row). Must love being around children, as you will be based out of your boss’s house. A love of fashion and adventurous palate is a plus.

25 to 30 an hour Includes healthcare + PTO.
