Creative designer is looking for a fab. long-term Assistant in West Hollywood.  (The most recent Assistant was with her for five years and the Assistant prior stayed for nine years!)  This is a high level EA responsible for managing the boss’ life — her calendar, press, travel, the office and occasionally, the other employees.  There is an office runner available to do errands and handle the personal.  The Boss Lady has two homes and you may travel between the two, but will be based out of her West Hollywood house.  In addition to her thriving design business, our client also runs a non-profit dog rescue, so hopefully you are as passionate about animals as she is.  We are looking for a super TECH savvy EA who can sync devices, work on Google Calendar and is fluent in Microsoft suite.  We are looking for someone quick who is great on the phone and loves a position in which every day is different.  The last EA worked 9am to 4pm, but if you prefer 40 hours — you can work 40.  Pay is around $25-$27/hour DOE plus an incentive bonus every 90 days.  This is an AWESOME long-term job for an AWESOME EA.  Please reach out if that’s you!

3rd Assistant Needed for Finance CEO

We are looking for a 3rd assistant to join a team that supports the CEO of a Hedge Fund.

There is a PA and EA and the CEO Needs to find an assistant who can focus mainly on travel. This is a team environment, and everyone helps each other out. Experience booking private travel is a bonus.

The CEO loves the NYC restaurant scene, so if you are well connected in the culture “scene”.

College degree is required! Must have a minimum of 7 years experience working in a support role for a C Level executive.

The job is M-F, 9-6p. You should be comfortable with after hour calls, if the CEO needs to change social or travel plans. This is not the right job for someone who is sensitive- this is a very fast paced environment, and we need someone who can switch gears at a moments noitce.

Executive Personal Assistant needed for HNW Individual

Please have prior experience managing a HNW Individual’s life and at least 5+ years as an executive personal assistant! You must be well educated, polished, polite and extremely efficient!

• Running complex calendar.
• Compiling list of invites (several every day) adding to calendar and also a rolling email, liaise with principal on what they would like to attend.
• Scheduling all travel, ground, charter & commercial, working closely with travel agent and external vendors – this is often very last minute.
• Frequent correspondence from friends and family.
• Taking care of the principal’s inbox and responses needed list.
• Overseeing all mac syncing, playlists, downloads across hundreds of laptops, iPods, iPads, iPhones.
• Purchasing, wrapping and sending gifts.
• Keeping contacts up to date, this must include notes, adding new people to birthday calendars many different party lists.
• Running a CRM (completion to be discussed with Nick) to hold complex restaurant lists, party lists, gift lists for all territories around the world.
• Adhoc film/theatre questions may come up but experience here is not essential, questions can be forwarded to the right people.
• Party planning, working with party planners and/or independently to create intimate dinners and lunches to large scale up to 350 person parties.
• Routinely assessing all working relationships, jet companies, party planners etc etc.. making sure we are working efficiently and effectively.
• Pet care: travel, occasionally sitting and walking, veterinary/grooming appointments, vaccinations etc..
• Keeping on top of his and her calendars, beauty/medical/business appointments as well as social.
• Arranging a complex yacht schedule for friends and family for the boat season.
• Some travel maybe be required, possibly London & Vail.
• Liaison with House Manager to make sure that all homes and staff are running smoothly.
• Managing company branding, online presence and social media.
• Personal shopping, working with housekeepers occasional shopping for clothes/products.
• Managing rental homes/calendar and guest schedules.
• Liaising with Yacht crew, drivers in the UK etc.
• Buying selling and inventorying Fine Wine.
• Buying selling Fine Art – inventorying using collector systems and finding comps at auction.

We are looking for a part time Family Assistant who can work for two entertainment executives. They are looking for someone who is: educated , flexible, RECENT event experience and possible concierge or hotel background is always a plus but not mandatory. Someone who is tech savvy also is a plus!
There is a 14 year old at the house so there may be occasional pick ups. You will be paid on the books through the business office. You can work remote and come to the house when 1. you have to do meet vendors or help with events at the house or 2. you have to drop off the 14 year old.
In addition to errands and occasional teen transpo, the assistant does a lot of things around the house like: changing light bulbs, cleaning spider webs and pressure washing our patio furniture before the weekend (along with our housekeeper & nanny), patching and painting around the house, doing liquor & ice runs when we are having and event, or picking up rental dishes & silverware, schlepping boxes to post office or back to stores, etc.

Otherwise you can pretty much make your own hours. Family is flexible to someone who can work 20 hours per week. Some hours may be 30 hours. Hourly rate DOE. MUST LIVE WEST SIDE !
