We are seeking a talented Executive Assistant to join our client’s lovely family office in Beverly Hills. This person will join the already existing administrative team partnering with the Principals’ Chief of Staff and Senior Executive Assistant to support their business, philanthropic and personal initiatives. This role involves the dynamic management and oversight of all aspects of the Principals’ complex life, both professionally and personally.

The Ideal candidate will have a no task is too big or too small attitude. We are looking for someone who is hyper organized, polished, professional, and a forward-thinking self-starter with excellent attention to detail. Must be excellent at anticipating needs, acting independently and as a team, and solving problems with a can-do spirit. Empathy and kindness and a poised, calm manner are also especially important. Strong writing skills and an ability to communicate clearly and concisely are essential.

Responsibilities:
• Assisting the admin team with overall office operations
• Lending support to the Chief of Staff and Senior EA
• Meeting preparation including catering orders, tech checks, and more
• Maintaining office inventories
• General office duties such as filing, copying, and scanning
• Assisting with Principals’ travel arrangements
• Running errands between the houses and office
• List management for e-blasts and invites
• Booking reservations
• Other ad hoc responsibilities and projects as needed

Requirements:
• Must have at least 3-5 years of experience working in a similar capacity
• Must have prior experience working in fast-paced environments
• Prior family office, talent agency, or UHNW experience is preferred
• Entertainment candidates will be prioritized
• Must be open to doing some personal assistant responsibilities
• Must be tech-savvy
• Must be able to work from both the home and the office
• BA Degree
• Must have a strong knowledge of MS Office, including Word, PowerPoint and Outlook
• Fluency with Apple computers and products
• Unflappable loyalty, strong sense of commitment and kindness, and able to manage highly sensitive confidential information with total unwavering discretion

Compensation:
Up to $110k-120k DOE, benefits, and bonus opportunity.

Location:
Monday-Friday, in person, in Beverly Hills, CA. Standard business hours, with some flexibility as needed.

The Co Founder of the largest online parenting resource and community in the world is seeking a dedicated right hand. This is an incredible opportunity for an experienced assistant to work alongside an incredible and impressive female executive. Your role will be 50% administrative, and 50% creative content most days. A genuine interest in social media and parenting is our ideal candidate! We are seeking an experienced and detail-oriented Executive Assistant to provide comprehensive support to one of the Founders. The ideal candidate will possess a creative eye for content, exceptional organizational skills, a proactive mindset, and the ability to manage multiple tasks in a fast-paced environment.

What You’ll Do:
Content Creation: Assembles Instagram reels by weaving video, text, and music together, assembles Instagram stories by creating video slides, and pairing it with text and other interactive and practical elements in a cohesive narrative for the viewer, and assists with sponsored posts by helping to set up merchandise for filming and ensuring all details are accurately captured

Email Management: Efficiently manage and prioritize incoming emails, flagging essential messages for daily review, and ensuring timely responses.

Administrative Support: Handle daily administrative tasks including managing an active calendar, making travel arrangements, developing and tracking travel itineraries, opening mail documents, scanning and copying documents, and maintaining organized files.

Meeting Support: Compile documents for external meetings and prepare agendas. Set executive meeting agendas, attend meetings to take notes, and identify action items and conduct follow-ups.

Communication: Respond on behalf of the founder while always ensuring accuracy and professionalism in all communications.

Information Flow Management: Ability to create a process that works uniquely for the founder. Manage information flow, ensuring follow-up and engagement with appropriate internal staff and external stakeholders on behalf of the founder.

Logistics Management: Plan, organize, and manage logistics for team offsites and executive events, ensuring seamless execution and avoiding scheduling conflicts.

Calendar Management: Lead and manage the founder’s calendar, setting meetings, and arranging travel arrangements while ensuring the founder’s schedule aligns with strategic priorities.

Project Management Support: Provide strategic administrative and project management support as needed.
Personal Support: Provide periodic support for certain personal tasks for the founder, including setting personal appointments, booking travel, ordering supplies, etc.

Tech Support: Be able to set up log in information, research things you do not know yet, be able to learn new platforms and apps that will streamline your bosses life ie: Asana, Slack, etc.

Your Experience
– You LOVE social media and genuinely enjoy creating content with a founder
– You have an interest in early childhood education
– Proven experience as an Executive Assistant or similar role supporting C-level executives in entertainment specifically.
– Exceptional organizational and multitasking abilities.
– Proficiency in email and calendar management tools.
– Strong communication skills, both written and verbal.
– Ability to handle sensitive information with discretion and confidentiality.
– Proactive problem-solving skills and attention to detail.
– Flexibility to adapt to changing priorities and deadlines.
– Previous experience managing executive events and travel bookings is a plus.
