Successful Tech Entrepreneur is seeking the best Executive Assistant who truly knows how to support a CEO Tech Entrepreneur! You will be based in LA and work mostly remotely except when needed in the Palm Beach Florida office 5-10 days a month. We would love someone really experienced in this world, who knows how to manage all the details of a fast moving CEO. You might be asked to travel internationally four times a year on the private jet, please have your Passport ready!

Extremely competitive compensation for the right person, $150,000 – $200,000 plus excellent health insurance and a 401k.

The Executive Assistant will provide high-level administrative support to the CEO. Reporting directly through the Office of the CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The Executive Assistant must be creative and enjoy working within a fast-paced entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. 

Responsibilities
• Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
• Plans, coordinates, and ensures the CEO’s schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time.
• Completes a broad variety of administrative tasks including: managing an extremely active calendar; completing expense reports; composing and preparing correspondence that is often confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for meetings.
• Partners across departments, internal events, facilities, and executive assistants on all aspects of customer meeting planning and execution. Owns meeting logistics from start to finish (from catering and room setup to agenda creation to logistics)
• Provides a bridge for smooth communication between the CEO and internal teams; demonstrating leadership to maintain credibility, trust, and support with senior leadership.
• Demonstrates leadership to build relationships crucial to the success of the business.
• Possess the ability to have influence to drive successful outcomes.
• Works closely and productively with the CEO to keep them well informed of upcoming commitments and responsibilities, following up urgently.
• Prioritizes conflicting needs and handles matters expeditiously.
• Proactively follows-through on projects to successful completion, often with deadline pressures.
• Works in tandem with the CEO’s personal team on event coordination.

Qualifications
• 5-10 years of experience supporting a C-level staff member in a public company
• Ability to travel up to 75% of the time and follow the active schedule of a CEO leading a growing global company
• Bachelor’s degree required
• Entrepreneurial spirit with uncanny ability to perform in fast-paced environment
• Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
• Very strong interpersonal skills and the ability to build relationships with stakeholders, including members of leadership, the board, external customers, and their teams
• Exceptional organization skills with the ability to successfully juggle and prioritize multiple people’s calendars and tasks, at once
• Expert level written and verbal communication skills; Excellent interpersonal skills, tact, and discretion
• Demonstrated strong decision-making ability
• Highly resourceful team-player, with the ability to also be extremely effective independently
• Ability to anticipate approaching problems and establish strategic plans for future success
• High level technical proficiency with Zoom, Slack, and Google Suite Products – Drive, Gmail, Calendar, etc.

Our client is in her mid 70s, and her health is starting to have some hiccups. We want to find someone that can help manage the health issues, without feeling burdensome, more of an advocate!

We would love someone that appreciates family and middle eastern culture. Our client immigrated to the US decades ago, and loves to talk about her family, and life before living in the US. We are hoping to find someone that appreciates hearing her stories, and that can spend meaningful time together going to lunch, reading a book, watching a film, taking a walk at the park, and taking her to visit her children and grandchildren.

We are looking for someone that can help run errands, do some basic cooking, simple cleaning (there is a housekeeper who comes to do deep cleaning here and there,) and is a loving companion. We want someone that feels like a cousin, an extension of her family. Someone she will really enjoy spending time with and would be happy to do a puzzle with, an arts & crafts project, go through family photo albums.

The schedule will usually be Monday-Friday, 9am-5pm with occasional weekends if there is a family event.

This is a full time position, and the rate is DOE, $35-40 an hour, plus $500 gross a month that you can use to pay your health insurance. They also offer paid sick days, paid holidays and paid vacation. Major bonus if you speak Aracbic! Also would be wonderful if you have CPR or any EMT type of experience.

You will be in charge of setting meetings, going to appointments, taking notes, being the liaison, coordinating family events, working with the travel agent, coming up with creative ideas for family vacations, birthdays and special moments for her teenage daughter.

We would love someone who enjoys being around children, while the daughter is a teen and Mom enjoys doing the driving, you’ll be back up, and someone who the daughter enjoys spending time with. Please love dogs as there is a cute doodle at home that you’ll be in charge of managing all the vet appointments for, food, etc.

There will be a lot of purchasing, exchanges, returns. Someone with a fashion background, or extreme appreciation for high fashion would be perfect. You are excited to create lists, inventories, and keep a smooth schedule.

The client is not living in LA year round – so we need someone that can expertly communicate and keep organized systems for this couple. You will send updates and create digital files to keep them up to date on projects. We would like to see that you are comfortable with Apple products, Google Suite, Microsoft Office, and are generally tech savvy, and someone who is good at learning new programs.

This position needs you 20 hours a week – the hours will be guaranteed. If they need more hours, and you’re able to work them, some weeks there will be more for you to do. We are looking for someone who has excellent time management skills, and can be trusted to be this couple’s LA Liaison. A bulk of this work can be done remotely, though we would like someone who lives close by so you can check on the house 2-3x a week.
