We are looking for a detail oriented executive assistant that would like to be involved in the mental health world. This amazing gracious woman has 100 things on her plate, she is on several boards, is asked to give lectures, writes extensively, and has a family on top of this!! This is one of the most dynamic humans that is a CEO of a mental health. It would be wonderful if you are OCD and organized and brilliant. You will manage scheduling, personal appointments, event planning, errands, travel and more.

Your memory must be 150% as there are 1000 messages and documents that you will read and decipher (as her partner). You have etiquette and will be dealing with politicians and other luminary’s. She would love someone that can absorb what she is doing, and be proactive and involved with her projects.

Please have a college degree, 5-10 plus years of experience, excellent references and be incredible on the computer, your middle name is tech savvy!

11-7 Monday – Friday with flexibility

Position Overview
We are seeking a highly capable, proactive Personal Assistant to a wonderful couple in Brentwood. This role will focus on creating more free time for the principals by efficiently handling schedules, home management, and various administrative tasks across two California-based properties. The ideal candidate thrives in an asynchronous work environment, demonstrates exceptional problem-solving abilities, and can operate independently with minimal supervision.
Core Responsibilities
Schedule Management
Coordinate and maintain comprehensive personal and professional calendars
Schedule and manage appointments, meetings, travel arrangements, and reservations
Proactively identify and resolve scheduling conflicts
Send reminders and prepare necessary materials for upcoming commitments
Household Management
Oversee property maintenance schedules and coordinate with service providers
Manage recurring services (cleaning, landscaping, pool maintenance, etc.)
Coordinate deliveries and establish efficient systems for regular orders
Maintain household inventories and arrange for timely replenishment of supplies
Research and vet new service providers as needed
Administrative Support
Manage principals’ inboxes, including triaging emails, drafting responses, and communicating on behalf of principals when appropriate
Handle expense management, including tracking, categorizing, and processing reimbursements
Calendar management with detailed attention to priorities, travel time, and preparation needs
Organize and prioritize tasks according to importance and urgency
Process incoming mail and manage important documents
Research topics, gather information, and prepare reports as requested
Assist with personal shopping, gift procurement, and special occasions
Liaise with professional contacts on behalf of principals as needed
Project Coordination
Break down complex projects into manageable tasks with clear timelines
Track progress on ongoing projects and provide regular updates
Anticipate needs and potential obstacles before they arise
Create efficient systems to streamline recurring processes
