Position Overview
The Executive Director of Facilities (EDFM) will be primarily and unfailingly focused on ensuring the satisfaction, comfort, and security of the Clients. The EDFM must be able to independently analyze and manage challenging and non-routine situations and circumstances and must have the ability to grow and evolve to the roles and requirements of the position as those change. The EDFM manages the day-to-day business, personal, and social activities of the Clients; demonstrates the ability to handle confidential information with discretion; prioritizes and handles internal and external mail and correspondence; schedules meetings and maintains (in coordination with the Executive Personal Assistant) daily and long-term calendar, coordinates meetings for the Clients; manages all aspects of Clients’ travel and local transportation requirements; creates and maintains a comprehensive filing system; coordinates Clients’ participation in business as well as community and social activities or events; and works collaboratively with and assists other team members to achieve the mission and goals of the Company.

Essential Functions
Assists in the development of the annual budget and then manages and controls that budget.

Develops and directs the implementation of goals, objectives, policies, procedures, and work standards for the staff and then selects, trains, motivates, and directs company staff and personnel in a cooperative manner and evaluates and reviews work for conformance with company standards.

Travels inter-island as well as abroad with varying frequency in advance to locations where the Clients are to be traveling in order to inspect and evaluate the locations and conditions as well as meet and liaise with hotel (or other accommodation) and staff to ensure communication of and adherence to required conditions, service levels, clients’ dietary requirements and needs, environmental management, and other needs of the Clients.

Obtains or coordinates for obtaining proposals for services; evaluates proposals and effectively negotiates contracts and ensures compliance by service providers.

Troubleshoots and fixes issues with phones, tablets, computers, printer copiers, wi-fi and fiber optic internet, and other devices and systems.

Drives Clients to and retrieves them from appointments, the airport, as well as other locations.

Books Client business travel and vacations and makes and confirms restaurant reservations.

Assists with shopping (online and in-person, including detailed research of shopping options) and errands, buys gifts, and sends holiday cards.

The EDFM also plans, organizes, manages, and provides administrative direction and oversight for all functions and activities of Company staff, including hiring, training, and supervision.

For Company buildings and residences, the EDFM oversees maintenance, cleaning, and repair of buildings, facilities, grounds, vehicles, and equipment; coordinates assigned activities with other staff, outside vendors and agencies, and guests and invitees of the company.

Checks on and maintains inventory for the home(s) and office workspaces through coordination with Executive Personal Assistant (EPA) and staff.

Can assist Clients with moving and related tasks as needed.

Qualifications
Possesses a four-year degree in a related field and a minimum of five years of related work experience.

Possesses exemplary written and verbal communication skills.

Effectively uses and operates QuickBooks, Microsoft productivity suite programs as well as Apple products (Excel and Word most often), Proton Signal communication software, as well as other standard and typical office software systems.

Possesses excellent organizational, leadership, and interpersonal skills.

Possesses a valid drivers’ license, clean driving record, and excellent and safe driving habits.

Is or can become a notary public.

Hyper organized.

The loveliest family is searching for a well rounded, experienced Estate Manager to help run their beautiful home on 4.5 acres in Rancho Santa Fe. The property resembles an upscale wellness resort. The Estate Manager will maintain it as such. They will be responsible for daily sweeps to ensure that all is running smoothly, overseeing construction projects, managing staff and vendors, managing the home (inside and out) and being on top of the family’s needs. The Estate Manager will be responsible for researching and planning travel and maintaining a clear schedule.
The perfect Estate Manager should be a self starter, detail oriented and an excellent communicator. Must be able to manage project timelines and budgets, solve problems and work autonomously. Professionalism is very important to our clients as is a pleasant demeanor. The Estate Manager needs to be tech savvy. They will create a digital house manual and often use Trello, Google Docs, to Other tools as needed to manage projects and tasks to support the families needs.
Estate Manager will spend a minimum of 3 days onsite per week and 5 days when the family is home. Hours will vary. Conversational Spanish would be great.

Job Description
Job Title: West Coast Tech Assistant
Responsible to: Director of IT

General duties include working with Apple computers and devices, as well as Windows systems, and a variety of AV and other technology applications. You will ensure all properties (East and West Coast) are fully operational in order to reliably serve the principals and their support staff.

You will also work closely with the Director of IT and the West Coast IT staff to ensure technological consistency across the properties. High competency in all aspects of technology is required, as well as advanced troubleshooting skills and a team-oriented attitude.

Responsibilities
The position includes, but is not limited to, the following tasks:
• Assist with managing and providing IT and AV support to the Family and Family Office staff across all properties including, but not limited to, staff computers and phones; family computers, phones, cameras, televisions, automobile tech, and media collections
• Maintain, manage and troubleshoot the software and hardware components to the A V and home- automation system across all properties
• Identify the need for upgrades, configurations or new systems and report to Director of IT on all items
• Assist with analyzing the business requirements of all departments to determine their technology
needs
• Ensure all devices are upgraded and patched for security vulnerabilities and verify backups are current
• Manage the decommissioning and recycling donation of old A V, computer and networking
components
• Research, evaluate, and support the implementation of new solutions or applications
• Respond to the IT needs of Family and Staff in a timely manner
• Coordinate mobile phone setup, MDM provisioning and maintenance
• Continually evaluate and collaborate with principal staff members to find ways to improve efficiency and workflow by implementing technological solutions
• Instruct end users on resolving technical issues, teaching new skills
• Manage DVR recordings, streaming account watchlists, and movie collections
• Maintain and calibrate photo printers for accurate color prints
• Basic photo editing, post-processing, and printing
• Maintain contact accounts and generate regular backups
• Create procedures and technical documents necessary to the entire organization
• Establish accounts for new users and maintain records of all logins
• Track inventories of devices, accessories, and print supplies
• Submit purchase requests and follow-up in a timely manner
• Maintain current knowledge of all AV and IT products and solutions both old and new to the market
• Travel a few times a year as needed to the East Coast Properties
