They lead a busy yet purposeful life with their two rescue dogs. The husband has his own assistant, and you’ll work closely with them. At home, they are low-key but have a public presence.

This actress is juggling multiple responsibilities and is looking for an assistant who can keep up. The role is dynamic and requires flexibility, but typical duties include scheduling, errands, travel management, coordinating with production, event planning, managing her glam squad, liaising with agents and other representatives, packing unpacking, and handling pet needs (vet, grooming, etc.).

The ideal candidate has experience managing a fluid calendar, excellent communication skills, high emotional intelligence, and experience with both domestic and international travel. You should be tech-savvy and able to troubleshoot tech issues (like Sonos or iPhones) and enjoy using tools like ChatGPT to streamline tasks. Comfort with Microsoft Office, Google Suite, and smart home tech is essential.

The position is primarily Monday-Friday, 9am-5pm, but flexibility is needed for evenings and weekends when travel is involved. You’ll work mostly from home but should live near Beverly Hills for occasional visits (2-3 times a week). Travel to other residences may be required.

Key Responsibilities

Travel to Event Coordination:

◦ Plan and book travel, including private jets, liaise with pilots, and manage all details of travel arrangements.
◦ Research and book luxury accommodations, ensuring the perfect room configurations for the couple’s needs.
◦ Create detailed, customized itineraries for domestic and international trips, including restaurant reservations, activities, and transportation.
◦ Handle all aspects of event planning, from hiring caterers to securing the best venues and managing on-site logistics.

Relationship Management:

◦ Leverage an established network of Maitre D’s and vendors to secure exclusive restaurant reservations and event access.

Detailed Documentation:

◦ Create and maintain visually appealing PowerPoint presentations that summarize trip details, itineraries, and highlight memories from past trips.
◦ Archive all documents and resources related to the couple’s experiences for easy reference.

Calendar to Task Management:

◦ Maintain and manage the family’s calendars, ensuring all appointments, travel, and events are seamlessly coordinated.
◦ Track important dates (birthdays, anniversaries, etc.) and proactively flag upcoming events and deadlines.
◦ Manage day-to-day tasks, including running errands, scheduling vendors, organizing vehicle maintenance, and purchasing flowers or gifts.

Administrative Support:

Qualifications:

Experience:
