One of our most loyal clients needs help! Their home was ruined over Thanksgiving weekend when a pipe burst. They are now in a rental in the Palisades, 2 minutes from their home, while construction is in full swing to bring their home back to life.

You will be working with the wife and husband as well as the manager at the office to oversee the work. They will depend on you for your expertise in construction, dealing with insurance, working with the interior designer etc.

This starts IMMEDIATELY and goes for about 3 months. The schedule will be Monday-Friday, 8am-4pm with some flexibility.

Ideally, you have at least 3-5+ years in a house management or PA role that dealt with construction, overseeing vendors and managing tight deadlines. This is a very busy family with two parents running businesses, so they need someone really self sufficient that doesn’t need to be micro managed.

ESTATE MANAGER JOB DESCRIPTION/RESPONSIBILITIES
• Complete Project Management pertaining to multiple properties.

• Tasks Encompass but may not be limited to:
o Complete oversight of principals’ homes and properties; maintaining consistency of standards, procedures and services.
o Organizational and file management system oversight for all residential offices.
o Maintain and update all household manuals, policies and processes.
o Interface with accountants, attorneys, curators, architects, financial advisors, vendors, all staff.
o Daily communication with principals and other support staff to ensure smooth operations.
o Maintaining seasonal routines and procedures for the household interior and exterior needs: landscaping, window washing, power washing, etc.
o Supervise construction and renovation projects, from design to coordination of schedules, inspections during various construction phases, monitoring permits, and daily oversight of subcontractors.
o Experience with handling and caring for fine art, fine furniture, and collectables; Moving furniture, lifting, cleaning.
o Demonstrate high-end design sensibilities and appreciation of aesthetic quality.
o Wine Cellar Maintenance.
o Oversee all security efforts and security management vendors on all properties.
o Order and maintain household supply inventories: cleaning supplies, beverages and snacks, etc.
o Oversee all maintenance and documentation of Automobiles.
o Oversight of all Emergency preparedness trainings, certifications, equipment inventory and security
o Organize and oversee travel arrangements for Principles.
o Assist with shopping and special requests when needed.
o Oversee and manage the care of all pets.
o Oversee scheduling and smooth operations (orchestrating staff accordingly) for all events at the residences.
o Working closely with Business Office to manage estate records and budgets of all properties.
o Approve all purchase orders and vendor invoices with principal/s authorization; submit for processing.

We have a wonderful role for a friendly, efficient PA for a fabulous family based in Palm Beach, Florida. This is a large residence that’s fully staffed, the role requires management of the house and exceptionally high levels of organisation. Responsibilities 
Working under an estate manager and directly with the principals but be able to work with minimal supervision. Skills including organization of the home, shopping, record keeping, running errands and household errands.  This is a live-in position and a lovely staff apartment is provided on the property.
 
50 hours a week with evening and weekend shifts as needed 
Some driving of children needed – the family has two teens who need to be dropped off and picked up from school and activities on occasion
General life admin, managing deliveries, reminding of appointments
Help with travel arrangements and packing 
Pet care and pet sitting of two small dogs  
Some domestic and international travel with the family 
Assisting with events 
Helping to serve at dinner parties or events when needed 
 
Ideal Candidate 
Have an undergraduate degree 
Have high scores on SAT/ACT 
Be willing to work for 2+ years with the family

Overview:
Management of the family’s main residence. Chief point person as it pertains to all lifestyle and entertaining (floor service/butler/valet) at the main residence. Support CFO with household budget. Manage the daily food and in-home dining requirements of the family, from refrigerator food to the pantry. Working closely with EA on any family needs.

Primarily based out of Beverly Hills
Monday through Friday 8am – 6pm.
On call as needed 24/7 plus any required weekends.

Roles & Responsibilities:

Main Beverly Hills Residence:
– Lead all major and general repairs and maintenance for home and vehicles and furnishings.
– Manage household projects to include interior & exterior renovations and landscaping – work closely with
CFO on budgeting.
– Maintain vendor relationships & schedule around family calendar.
– Coordinate in conjunction with EA and security team regarding family movement
– Lead with all events and hosting from small dinner parties to annual parties, all holiday celebrations,
family special occasions and Family Foundation annual symposium.
– Meal planning and food purchasing. Cooking for family as needed/wanted.
– Support EA with travel, shopping, pets, meds and auxiliary family members including
children/grandchildren.

Auxiliary Residences;
During heavy auxiliary California weekends ability to work from Satellite properties and support team as needed.

Travel
– Travel with the family as needed
– Support EA with all packing for family travel – housekeepers & auxiliary support
– Support EA with all travel concierge needs

HR:
Financials:
– Oversee team spending – manage to a budget set by owners/CFO
– Review/approve credit card statements and approve new vendors
– Assist CFO with electronic and paper filing – real estate and asset related documentation as required
– Co-manage with CFO auto purchases, leases, insurance & registration

Qualifications & Preferred Requirements:
– 5-10 years’ experience as a house/estate Manager
– Experience with project management
– Strong working knowledge of HVAC, AV, IT, Crestron & Vantage Lighting Mechanical systems – upkeep
and maintenance
– Highest level of personal service with proper social etiquette
– Solid Line to principles. Dotted line to family EA & CFO.
– Direct reports to include: Three housekeepers, driver & handyman.
– Oversee staff/hiring/firing, onboarding, payroll/timesheets, vacation & sick, annual reviews for direct
reports
– Manage bonuses, payrates, payroll for direct reports – in conjunction with CFO

“I just completed a renovation of my house on Broad Beach in Malibu. I’m looking for someone whom I could hire as a house manager. Someone to manage and coordinate the schedule/payment for my housekeeper/pool cleaner/gardener, take in packages that arrive, and rush over to the house in the middle of the night if the alarm goes off (which I doubt will happen very often!). I would love someone with the flexibility to do grocery shopping and turn the pool heat on if we plan to come out, take care of issues with neighbors etc, since I’m a pretty private person. Generally be responsibly for the upkeep of the house (taking stock of the house for leaks/dead plants, lights not working, plumbing) being proactive about fixing them. This is definitely not a full-time job, this person should be able to do this for several properties, and add mine to their slate. I’m hoping to pay about $1000 a week.
